HRMione for Construction and infrastructure

6%

Average reduction in labour billing leakage

From matching contractor invoices against verified site attendance instead of vendor supplied musters.

1 day

To close a monthly labour bill

Site attendance, rates and deductions arrive in one reconciliation sheet per contractor.

100%

Workers with safety induction on record

Induction, toolbox talks and personal protective equipment issue logged against the worker record.

Project wise

Labour cost visibility

Every attendance record carries a site and project code, so cost lands against the right budget.

The reality on the ground

What actually breaks in construction and infrastructure

Every conversation with a people team in this sector surfaces the same handful of failures. Here is what they look like and what they cost.

1

Musters that come from the people being paid

The labour contractor submits a muster at the end of the month. Nobody at head office can verify who was actually on site on any given day. The site engineer signs it because the work clearly got done, and the invoice gets paid with a shrug.

Cost of leaving it: Silent leakage of several percent of the labour bill on every project, every month.

2

No labour cost until the project is over

Labour cost is the largest variable in a project, yet it reaches the project manager weeks after the money has been spent. By the time a cost overrun is visible in the accounts, the concrete has already been poured.

Cost of leaving it: Overruns discovered after they can be corrected instead of during the month they occur.

3

Safety records that exist only on paper at the site

Induction registers, toolbox talk sheets and equipment issue records live in a folder in the site office. When a client audit or an incident investigation happens, that folder is either incomplete or in a different city.

Cost of leaving it: Failed client audits, contractual penalties and indefensible positions after an incident.

4

Workforce that moves faster than paperwork

Crews move between sites weekly. A worker inducted at one site is unknown at the next. Skill certificates for crane operators, welders and electricians expire without anyone noticing until an inspector asks.

Cost of leaving it: Uncertified workers on critical equipment and stoppage notices at the worst possible time.

Capability deep dive

How HRMione is configured for this sector

Same platform, sector specific defaults. Each capability below arrives preconfigured, so your team edits rather than builds.

Geofenced site attendance

What it does
Marks workers present only inside the defined boundary of a site, with photo capture and timestamp.
Tuned for construction and infrastructure
Every site is a geofence with its own working hours. Attendance works offline and syncs when the device finds a network.
What changes in week one
Head office sees a live site by site headcount for the first time.

Contractor and subcontractor reconciliation

What it does
Holds vendor agreements, rate cards per trade and a monthly reconciliation between verified attendance and submitted invoices.
Tuned for construction and infrastructure
Rates set per trade and per skill grade, with retention, advance and deduction handling built in.
What changes in week one
The first contractor bill is matched against verified attendance rather than accepted on trust.

Project and cost code tagging

What it does
Tags every attendance day and payout to a project, site and cost code for direct cost reporting.
Tuned for construction and infrastructure
Mirrors your existing project and cost code structure so reports reconcile with your accounting system.
What changes in week one
A project manager can pull labour cost to date without waiting for the accounts close.

Safety induction and toolbox talks

What it does
Records induction, periodic safety briefings, incident reports and personal protective equipment issue per worker.
Tuned for construction and infrastructure
A worker cannot be marked present at a site until induction for that site is recorded.
What changes in week one
Induction status becomes a hard gate rather than a paper formality.

Skill certificate and licence expiry

What it does
Tracks trade certificates, equipment operator licences and medical fitness with automatic expiry alerts.
Tuned for construction and infrastructure
Alert windows configured per certificate type, with escalation to the site engineer and the safety officer.
What changes in week one
Every expiring certificate in the next ninety days is listed on one screen.

Wage payment and statutory compliance

What it does
Runs wage payments with provident fund, employee state insurance, professional tax and welfare cess handled per state.
Tuned for construction and infrastructure
Handles daily wage, piece rate and monthly staff on the same cycle, with separate registers for direct and contract workforce.
What changes in week one
A parallel wage run reconciles against your current sheet before you switch.

Multi site and multi state operations

What it does
One workspace with per site access control, per state statutory rules and consolidated group reporting.
Tuned for construction and infrastructure
Site engineers see only their site. Regional heads see their region. Head office sees everything.
What changes in week one
Access boundaries are live, so site data stops circulating over personal messaging apps.

Staff and engineer workforce

What it does
Full people management for engineers, planners, quantity surveyors and administration with leave, appraisal and self service.
Tuned for construction and infrastructure
Site allowance, travel and accommodation components handled inside the salary structure.
What changes in week one
Site staff stop emailing head office for leave balances and payslips.

A day in the life

What the platform feels like for each role

Software only sticks when the person using it saves time on their own work. These are the three roles that make or break adoption here.

Site engineer

Accountable for progress, safety and the labour count on the ground.

  1. 7:00 am

Opens the site view and confirms the morning headcount by trade against the plan for the day.

  2. 7:30 am

Blocks two workers from marking in because their induction for this site is not recorded.

  3. 1:00 pm

Logs a toolbox talk with the attending workers selected from the present list.

  4. 6:00 pm

Approves overtime for the pour crew with the hours already captured.

Contracts and accounts

Owns the contractor bill and the labour budget.

  1. Month end

Opens the reconciliation view per contractor with verified days against invoiced days.

  2. Day two

Raises a query on a variance with the exact dates and trades attached.

  3. Day three

Releases the corrected bill and posts labour cost against project cost codes.

  4. Weekly

Reviews cost to date per project without waiting for the accounting close.

Worker

Needs a simple way to be counted and paid correctly.

  1. Gate

Marks in with a photo on a supervisor device or a site terminal in seconds.

  2. Any day

Checks days worked for the month from a simple screen, in the language configured for the site.

  3. Pay day

Receives the wage statement showing days, rate, overtime and deductions.

  4. New site

Carries induction and certificate records forward instead of starting again.

Compliance and audit

The registers and evidence a client audit or inspector will ask for

Contract labour records

Vendor agreements, worker rolls per contractor and reconciliation history retained per project.

Provident fund and employee state insurance

Contributions computed for eligible workers with monthly returns generated from the wage run.

Wage registers

Statutory wage and attendance registers produced per site and per state from live data.

Building and other construction welfare cess

Cess relevant records maintained alongside the labour cost per project.

Safety induction and incident log

Induction, toolbox talks, equipment issue and incident reports timestamped with the responsible supervisor.

Skill and medical fitness certificates

Certificates stored per worker with expiry alerts and a blocked status when lapsed.

End to end workflow

From mobilisation to project closeout

One record per person, from the day they join to the day they leave. No spreadsheet handoffs in between.

  1. Stage 1

    Site mobilisation

Site created with geofence, working hours, project code and access for the site team.

  2. Stage 2

    Onboarding

Direct workers and contractor workers enrolled with identity, bank details and trade recorded.

  3. Stage 3

    Induction

Safety induction completed and recorded before the first attendance is permitted.

  4. Stage 4

    Daily operations

Attendance, overtime, toolbox talks and equipment issue captured on site, offline capable.

  5. Stage 5

    Monthly close

Contractor reconciliation, wage run, statutory returns and project cost posting.

  6. Stage 6

    Demobilisation

Workers released, final settlement processed, site records archived against the project.

Integrations and hardware

It plugs into what you already run

No rip and replace. HRMione sits alongside the systems and devices already on your floor.

Site hardware

  • Biometric and face terminals at gates
  • Rugged tablets for supervisor marking
  • Offline mobile capture with later sync

Back office systems

  • Project accounting and cost code exports
  • Bank payment files for wages and vendor payouts
  • Enterprise resource planning exports

Communication

  • Site level announcement broadcast
  • Safety alert push to present workers
  • Chat channels per site and per project

Rollout plan

From signature to steady state in ninety days

A dedicated onboarding lead runs this with you. Nothing here needs your engineering team.

Week one

One pilot site

Geofence, working hours, trades and worker enrolment completed for a single active site.

Week two

Contractor onboarding

Vendor agreements and rate cards loaded, first reconciliation dry run completed.

Week four

Parallel wage run

Wages processed in parallel with your existing process and matched line by line.

Day ninety

All active sites

Every live site enrolled, safety gating enforced and project cost reporting in use by planning.

Commercial fit

What a team like yours typically buys

Most builders start with one live site, prove the attendance and reconciliation numbers against a contractor bill, then roll out site by site.

Typical headcount

Firms running 200 to 5000 workers across direct and contract workforce, on two to fifty active sites.

Indicative spend

Priced per active worker per month, billed annually. Seasonal demobilisation reduces the count, so you are not paying for workers who left the project.

Modules in the standard bundle

  • Core people records
  • Geofenced site attendance
  • Contractor reconciliation
  • Wages and statutory
  • Safety and certificates
  • Project cost tagging
  • Leave and staff self service
  • Expenses

Case study

BuildRight Infra, civil contractor, eleven active sites, 1900 workers

Situation

Labour musters arrived from contractors on paper. Project managers received labour cost six weeks late. A client safety audit at one site failed because induction records were incomplete.

What we did

Every site received a geofence and supervisor marking devices. Contractor rate cards moved into the platform, and induction became a hard gate before any worker could be marked present.

Result

  • Verified attendance cut the first month contractor bill by just over six percent
  • Project managers now see labour cost to date the same week it is incurred
  • The next client safety audit passed with records produced on the spot
  • Fourteen expired operator certificates found and renewed in the first month
The first reconciliation paid for the year. What we did not expect was how fast the safety records stopped being a worry.

Straight answers

The questions this sector always asks

Our remote sites have no network. Does attendance still work?

Yes. Marking works fully offline on the device, stores locally with the timestamp and location, and syncs when a network is available. Supervisors do not wait for connectivity to run the morning count.

Contractors will resist verified attendance. How do you handle that?

The reconciliation view shows verified days beside invoiced days with dates and trades, so the conversation becomes factual rather than adversarial. In practice contractors adjust within one billing cycle because the evidence is specific.

Workers do not have smartphones.

They do not need one. Supervisors mark crews on a shared device with photo capture, or workers use a site terminal. The worker facing screen exists for those who want it, not as a requirement.

Can labour cost really map to our cost codes?

Yes. We import your project and cost code structure during onboarding, and every attendance day and payout carries those codes, so exports reconcile with your accounting system without manual mapping.

We work across several states with different rules. Is that supported?

Yes. Statutory rules apply per site based on its state, so provident fund, employee state insurance, professional tax and welfare cess are computed correctly on a single consolidated run.

FAQ

HRMione for Construction and infrastructure, frequently asked

Does HRMione replace our contractor invoices?
No. It gives you a verified attendance record to check the invoice against, plus rate cards, advances, retention and deductions in one place, so the approved amount is defensible.
How is overtime handled for site work?
Overtime is computed from actual marked hours against the site working hours, with your own multipliers per trade and per day type, including approval before it enters the wage run.
Can we track piece rate work?
Yes. Piece rate output can be recorded against workers or crews and paid alongside day rate work in the same wage cycle.
What happens when a crew moves to a new site?
The worker record moves with them, carrying identity, bank details, certificates and induction history. Site specific induction is still required and is prompted automatically.
Is there a way to stop attendance fraud at the gate?
Photo capture with the geofence and timestamp, combined with biometric or face terminals where infrastructure allows, removes proxy marking. Duplicate marking attempts are flagged for the site engineer.
Can head office restrict what each site sees?
Yes. Site engineers see only their own site. Regional and head office roles see wider scopes. Wage and rate information is limited to the finance roles you designate.
How does this handle seasonal ramp up and ramp down?
Workers are activated and deactivated as projects mobilise and demobilise, and billing follows the active count, so a quiet quarter costs less than a peak quarter.
How quickly can we see value?
One pilot site can be live within a week, and the first contractor reconciliation typically pays for the year. Full multi site rollout usually completes inside ninety days.
