HRMione for Logistics and transport

Zero

Dispatches on an expired licence

Licence, medical and permit validity is checked before a driver can be assigned to a trip.

Same day

Attendance visibility across all hubs

Mobile and kiosk punches consolidate immediately instead of arriving as end of month registers.

90%

Less manual allowance calculation

Trip, load, night out and route allowances compute from recorded duty rather than a supervisor's sheet.

Multi state

Payroll in one cycle

Professional tax, minimum wages and state rules applied per location within a single run.

The reality on the ground

What actually breaks in logistics and transport

Every conversation with a people team in this sector surfaces the same handful of failures. Here is what they look like and what they cost.

1

Attendance registers that arrive too late to matter

Each hub maintains a paper register. Copies reach head office between the third and the tenth of the following month, some illegible, some clearly filled in retrospectively. Payroll then reconstructs the month under time pressure.

Cost of leaving it: Payroll always late or always wrong, and no ability to see today's manpower at any hub.

2

Licence and permit expiry discovered at a checkpoint

Driving licences, medical fitness certificates, hazardous goods endorsements and vehicle permits each expire on their own date. The renewal tracker is a spreadsheet. The lapse is discovered by a transport authority officer, with the load already on the road.

Cost of leaving it: Detained vehicles, penalties, and liability that sits with the operator.

3

Allowances negotiated at the hub

Trip allowance, night out, loading and unloading incentives and route specific payments are calculated by hub supervisors from their own notes. Two drivers on the same route can be paid differently, and nobody can explain the difference to either of them.

Cost of leaving it: Disputes, attrition, and a wage bill nobody can forecast.

4

Attrition that nobody sees coming

Drivers and loaders leave with no notice and no exit conversation. Replacement hiring starts when a vehicle is already idle. The reasons never reach anyone who could act on them.

Cost of leaving it: Idle assets, missed delivery commitments and permanent recruitment cost.

Capability deep dive

How HRMione is configured for this sector

Same platform, sector specific defaults. Each capability below arrives preconfigured, so your team edits rather than builds.

Mobile and geofenced attendance

What it does
Punch in from a mobile device inside a hub geofence, or from a kiosk or biometric device where one exists.
Tuned for logistics and transport
Works on low end phones and tolerates poor connectivity, syncing when the network returns.
What changes in week one
Head office sees live manpower across every hub on the first morning.

Licence, medical and permit control

What it does
Tracks driving licence class, medical fitness, endorsements and vehicle permits with expiry and documents.
Tuned for logistics and transport
Expiry blocks trip assignment for that driver or vehicle, with escalation from forty five days out.
What changes in week one
All currently expired and near expiry documents are listed on day one.

Hub rosters and shift patterns

What it does
Rosters warehouse, loading and dispatch shifts by pattern, with required headcount per shift per hub.
Tuned for logistics and transport
Peak season patterns can be layered over the base roster without rebuilding it.
What changes in week one
Shortfalls against required headcount are visible before the shift, not during it.

Trip and duty allowances

What it does
Computes trip, night out, loading, route and distance allowances from recorded duty and trip data.
Tuned for logistics and transport
Rules configured per route, per vehicle class and per hub so like work is paid alike.
What changes in week one
Supervisor allowance sheets are replaced in the first payroll cycle.

Overtime and duty hours

What it does
Totals worked hours and overtime per person per period against statutory and internal limits.
Tuned for logistics and transport
Driving hour limits monitored where applicable, with rest interval flagging.
What changes in week one
Overtime cost becomes visible weekly instead of at payroll close.

Multi state payroll and statutory

What it does
Runs payroll with provident fund, state insurance, professional tax, minimum wages, income tax and gratuity.
Tuned for logistics and transport
Location determines minimum wage schedule and professional tax slab automatically.
What changes in week one
A parallel run reconciles multi state statutory against your current process.

Contractor and vendor manpower

What it does
Holds contractor supplied manpower with attendance capture and headcount reconciliation against invoices.
Tuned for logistics and transport
Contractor attendance is captured on the same devices, so invoices can be checked against actual presence.
What changes in week one
Contractor invoice reconciliation stops relying on the contractor's own numbers.

Exit tracking and attrition insight

What it does
Records exits with reason, clearance and settlement, and reports attrition by hub, role and tenure.
Tuned for logistics and transport
Short tenure attrition is separated out, since that is where operational damage concentrates.
What changes in week one
The hubs with the worst attrition become identifiable in the first month.

A day in the life

What the platform feels like for each role

Software only sticks when the person using it saves time on their own work. These are the three roles that make or break adoption here.

Hub manager

Needs the shift staffed and the vehicles legal every morning.

  1. Early morning

Sees who has punched in against required headcount for the shift.

  2. Dispatch

Assigns drivers, blocked automatically from anyone with a lapsed licence or medical.

  3. During shift

Approves overtime and records loading incentives against actual work.

  4. Weekly

Reviews attendance exceptions and contractor headcount before invoices are certified.

Central human resources and payroll

Runs payroll for dozens of locations across several states.

  1. Daily

Monitors attendance completeness by hub instead of waiting for registers.

  2. Weekly

Works the licence and permit expiry list with hub managers.

  3. Month end

Runs payroll with allowances and state specific statutory computed automatically.

  4. Monthly

Reports attrition and overtime cost by hub to operations leadership.

Driver or loader

Uses only a phone, often on a weak network.

  1. Shift start

Punches in at the hub geofence in a couple of taps.

  2. On route

Records night out or trip completion without needing to reach an office.

  3. Renewal

Uploads a renewed licence or medical certificate from the phone camera.

  4. Pay day

Sees payslip with trip and allowance components itemised.

Compliance and audit

What transport and labour inspections will ask you to produce

Driving licence and medical validity

Current licence class, endorsements and medical fitness evidence retained per driver with expiry history.

Vehicle permit records

Permits and fitness documents held against vehicles with expiry escalation.

Attendance and duty registers

Digital attendance per hub retained with correction trail, exportable in inspection format.

Minimum wages by state

Applicable schedule per location applied in payroll with evidence of compliance.

Provident fund and state insurance

Contributions computed and filed for eligible staff across all locations.

Contractor labour records

Contractor supplied manpower attendance and headcount retained for principal employer obligations.

End to end workflow

From joining at a hub to monthly payroll

One record per person, from the day they join to the day they leave. No spreadsheet handoffs in between.

  1. Stage 1

    Joining

Employee created at a hub with licence, medical and document details captured on mobile.

  2. Stage 2

    Roster

Shift patterns published per hub with required headcount per shift.

  3. Stage 3

    Daily duty

Geofenced punches recorded, dispatch blocked on lapsed licences or permits.

  4. Stage 4

    Trip capture

Trips, night outs and loading work recorded against the employee during the shift.

  5. Stage 5

    Period close

Attendance exceptions resolved, allowances and overtime computed from recorded duty.

  6. Stage 6

    Payroll

Multi state payroll run with statutory deductions and bank files generated.

A dedicated onboarding lead runs this with you. Nothing here needs your engineering team.

Week one

Hubs and people

Locations, hubs, employees, licences and permit records loaded with expiry dates.

Week two

Attendance live

Mobile geofence punching rolled out at three hubs with exception handling in use.

Week four

Allowances configured

Trip, night out and route allowance rules validated against the previous month.

Day ninety

Network wide

All hubs punching digitally, payroll migrated and attrition reporting in routine use.

Commercial fit

What a team like yours typically buys

Most operators start with attendance at their three largest hubs and licence expiry control, then extend across the network hub by hub.

Typical headcount

Fleet, warehousing, courier and last mile operators from 100 to 20000 staff across many locations and states.

Indicative spend

Priced per active employee per month, billed annually. Contractor manpower can be tracked as attendance only seats at a lower rate.

Modules in the standard bundle

  • Core people records
  • Licence and permit control
  • Mobile and device attendance
  • Hub rostering
  • Trip and duty allowances
  • Multi state payroll
  • Contractor manpower
  • Self service

Case study

Bharat Freight Lines, surface transport and warehousing operator, 2400 staff across 38 hubs in nine states

Situation

Paper registers reached head office up to ten days late. Two vehicles had been detained in the previous year for lapsed permits, and trip allowances were computed by hub supervisors with frequent disputes.

What we did

Mobile geofenced attendance was rolled out hub by hub, licence and permit expiry control was switched on with dispatch blocking, and allowance rules were centralised per route and vehicle class.

Result

  • Attendance now visible the same day across all thirty eight hubs
  • No detention for lapsed documents since rollout
  • Allowance disputes fell sharply once rules became uniform per route
  • Short tenure attrition identified at four hubs and addressed locally
We stopped reconstructing the month. Attendance is simply there, and a driver with a lapsed licence cannot be put on a load even if the hub is short.

Straight answers

The questions this sector always asks

Our drivers have basic phones and poor network coverage.

The mobile app is built for low end devices and tolerates poor connectivity, queuing punches locally and syncing when signal returns. Where phones are unsuitable, hub kiosk or biometric capture covers the same workflow.

Can attendance be faked from outside the hub?

Punches require presence inside the hub geofence, and location plus device is recorded with each punch. Where you need stronger assurance, kiosk capture with a photograph is available.

Blocking dispatch could stop operations at a critical moment.

Licence and permit blocking is deliberately hard, because that is the exposure you are trying to remove. Escalation begins forty five days before expiry so a genuine lapse should never reach dispatch day.

We operate across states with different wage schedules.

Location drives the minimum wage schedule and professional tax treatment, so a single payroll run handles all states correctly rather than needing separate runs.

A large part of our manpower is contractor supplied.

Contractor manpower is captured on the same devices, which lets you reconcile invoices against actual attendance and retain the records your principal employer obligations require.

FAQ

HRMione for Logistics and transport, frequently asked

Does attendance work without any device installed at a hub?
Yes. Mobile geofenced punching needs nothing installed, which is how most operators cover small hubs and transhipment points.
Can trip data come from our transport management system?
Yes. Trip and route data can be imported so allowances compute from operational records rather than being entered again.
How are night out allowances handled?
Night out is recorded against the duty and paid per your rule for the route and vehicle class, without a supervisor calculating it separately.
Are vehicle documents tracked as well as driver documents?
Yes. Permits and fitness certificates are held against vehicles with the same expiry escalation, and an expired vehicle document blocks assignment.
Can we see manpower at a hub in real time?
Yes. Punched in headcount against required headcount per shift is visible per hub throughout the day.
How is overtime controlled?
Overtime requires approval and totals against statutory and internal limits, with weekly cost visibility rather than a month end surprise.
Does it handle multiple legal entities?
Yes. Entities carry their own registrations and payroll runs while network level reporting consolidates headcount, cost and attrition.
How long does a network rollout take?
Three hubs are usually live within two weeks. A network of thirty to forty hubs including payroll migration typically completes inside ninety days.
